Adding a technician can raise your software bill by nothing or by more than $1,600 a year, depending on which software you run and which hire it is. On Jobber's Grow plan, the second and sixth hires each add $1,080 a year. On Housecall Pro, the second hire adds $1,320 a year and the sixth adds $1,680. Service Fusion, ServiceM8 and Own Your Tools don't charge more for headcount within their limits.

Disclosure: this guide is published by Own Your Tools, which appears in the comparison. Competitor prices come from public pricing pages, checked October 9, 2026.

Software is part of the cost of a hire

When you budget a new tech, you count wages, payroll tax, workers' comp, maybe a truck and tools. The software seat rarely makes the list, and it's the one cost that keeps billing every month for as long as that person has a login.

How much it adds depends on how your software prices people. There are five common models in field service software right now.

The five ways software prices your crew

Model How it works Example
Plan walls Each plan holds a set number of users. Pass it and you move up a plan Housecall Pro: 1 user, then 5, then 8
Per user A fixed monthly charge for each person past what's included Housecall Pro MAX: $35 a month past 8
User bands Price is set by band size, so you pay for the band, not the head count Jobber Grow: 1, 5, 10 and 15-user bands
Job volume Users are free, but the price rises with how many jobs you book ServiceM8: $29 to $149 a month by job count
Flat or included seats One price covers a set number of users, or unlimited users Service Fusion (unlimited, monthly) or Own Your Tools (10 seats, one-time license)

The first three tie your software bill to your payroll. The last two don't.

What each hire adds, crew sizes 1 to 10

The table shows the added yearly software cost when that specific person joins. Jobber figures use the Grow plan on a one-year commitment. Housecall Pro figures use monthly billing.

Hire Jobber Grow Housecall Pro Service Fusion ServiceM8 Own Your Tools
#2 +$1,080/yr ($169 to $259/mo) +$1,320/yr ($79 to $189/mo) $0 $0 $0
#3 to #5 $0 $0 $0 $0 $0
#6 +$1,080/yr ($259 to $349/mo) +$1,680/yr ($189 to $329/mo) $0 $0 $0
#7 and #8 $0 $0 $0 $0 $0
#9 $0 +$420/yr ($35/mo) $0 $0 $0
#10 $0 +$420/yr ($35/mo) $0 $0 $0

Add it up and the gap gets wide. Growing from 1 person to 10 raises a Jobber Grow bill by $2,160 a year. On Housecall Pro it's $3,840 a year. Those increases repeat every year the crew stays that size.

A few honest notes on the other three. Service Fusion's flat rate starts at $245 a month, so a one-person shop pays for seats it won't use. ServiceM8 charges by jobs instead of people, so a busier crew can still push the bill up, and its free plan covers only one user, so the first hire means moving to a paid plan at $29 a month. Own Your Tools covers up to 10 seats on one license, and the table stops at 10 for that reason.

Why the jumps land where they do

On band and plan-wall pricing, the expensive hires are the ones that cross a line. For Jobber Grow that's the 2nd, 6th and 11th person. For Housecall Pro it's the 2nd and 6th, then every person past 8. Hire #3, #4 or #5 costs nothing extra on either one, because you already paid for that room when you crossed the line.

That creates a strange incentive. A five-person shop on Jobber or Housecall Pro has a real software reason to hold off on hire #6, even when the work is there. Jobber's help center also mentions buying seats in bulk inside the account, but it doesn't publish a price, so it's hard to plan around.

How to keep the seat cost under control

Price the next hire before you post the job. Look up which band or plan your crew size lands in after the hire, not before it.

Count everyone who needs a login. Office help, a part-time estimator and a family member doing the books all count as users on most plans.

Deactivate people when they leave. On per-user and band pricing, a seat you forgot to remove is money every month. Most platforms let you deactivate a user without deleting their job history.

Run the number five years out. A $90 monthly step looks small. Over five years it's $5,400.

Where Own Your Tools fits

Own Your Tools takes headcount off the bill for crews of up to 10. It's a one-time license, $490 at the founding price or $49 a month for 12 months and then it's yours, with an annual platform fee for hosting and updates capped at $99 from year two. Ten seats come included, so hires #2 through #10 add nothing. Customers pay invoices straight into your own Stripe account and Own Your Tools takes no cut.

It doesn't send automated customer texts, doesn't sync live with QuickBooks, and offers email support only, so it's not the right fit for every shop. But if the software bill is the part of hiring you resent, it's the option built to make that line zero. There's a 30-day free trial with no card and a 60-day money-back guarantee, and the $490 founding price is for the first 25 shops; after them the license is $700.

FAQ

How much does it cost to add a user to Jobber? Jobber's pricing page sells user bands, not individual seats. On Grow with a one-year commitment, moving from 1 to 5 users adds $90 a month, from 5 to 10 adds $90, and from 10 to 15 adds $80. Its help center says extra seats can be bought in bulk inside the account, without a published price.

How much does it cost to add a user to Housecall Pro? On MAX, $35 a month for each user past 8. Below that, adding users means changing plans: Basic covers 1 user at $79 a month and Essentials covers up to 5 at $189.

Which field service software doesn't charge per user? Service Fusion includes unlimited users on every monthly plan. ServiceM8 includes unlimited users on paid plans and prices by job volume. Own Your Tools includes 10 seats on a one-time license.

Do office staff count as users? On most platforms, anyone who logs in counts, including office staff and part-timers. Check your plan's user limit before giving someone a login.
