Housecall Pro gets more expensive in steps, not gradually. Going from one user to two moves a shop from Basic ($79 a month) to Essentials ($189). Going from five to six moves it to MAX ($329). Past eight, every person adds $35 a month. Some tools are only included on the top plan, and GPS hardware is sold separately. The alternatives below handle those two walls differently: Service Fusion and ServiceM8 don't charge per user, Jobber prices by user band, and Own Your Tools sells a one-time license for up to 10 people.

Disclosure: this guide is published by Own Your Tools, which appears in the comparison. Every price comes from a public pricing page, with dates in the sources.

The first wall: plan limits

Housecall Pro sells three plans, and each one caps how many people can use it.

Plan Monthly Billed annually Users
Basic $79 $59 1
Essentials $189 $149 Up to 5
MAX $329 $299 Up to 8, then $35 a month each

The jumps land at specific hires. Bringing on a first employee more than doubles the bill, from $79 to $189 a month. Hiring the sixth person adds $140 a month, because the only plan that holds six people is MAX. After that the climb is steady: $35 a month for every person past eight.

Housecall Pro first-year cost by crew size: plan jumps at 2, 6 and 9 people, compared with the Own Your Tools one-time license at the $490 founding price

Over a year, a five-person shop on Essentials pays $2,268. Add one person and it pays $3,948. That one hire costs $1,680 a year in software before he turns a wrench.

The second wall: add-ons

The plan price isn't always the whole bill. Some tools are only included on MAX: the sales proposal tool and recurring service plans are both extra on Basic and Essentials. Hardware is sold separately on every plan. Vehicle GPS hardware, which plugs into the truck, is $20 per vehicle per month, and dashcams are $49 per device. (Employee GPS tracking through the tech's phone is included on Essentials and up.)

Payment processing adds its own layer. Card fees start at 2.59% and run higher for online and keyed-in payments, and bank payments carry a 1% fee.

None of this is unusual in this market. But when comparing alternatives, price the add-ons you actually use, not just the plan.

Housecall Pro alternatives compared

Software How you pay Monthly, 6 people Monthly, 10 people 5 years, 10 people Adding a person
Housecall Pro Monthly, by plan, then per user $329 (MAX) $399 (MAX) $23,940 Plan jumps, then $35/mo past 8
Jobber Monthly, by user band See note $349 (Grow, 1-yr) $20,940 Band step, +$80/mo past 10
Service Fusion Monthly, flat rate $245 (Starter) $245 (Starter) $14,700 $0
ServiceM8 Monthly, by jobs per month $29 to $149 $29 to $149 $1,740 to $8,940 $0 (paid plans)
Own Your Tools One-time license, annual fee capped at $99 from year two $0 $0 $886 max $0, up to 10 seats

Jobber sells Grow in 1, 5, 10 and 15-user bands. A six-person shop would buy the 10-user band or add seats to a smaller one, depending on what Jobber's page offers at the time.

Five-year cost for a 10-person crew: Housecall Pro $23,940, Jobber $20,940, Service Fusion $14,700, ServiceM8 $8,940, Own Your Tools $886 max

Jobber

The most common switch from Housecall Pro, and the most similar product. Jobber covers the same ground: scheduling, quoting, invoicing, automated customer reminders, QuickBooks sync and a native mobile app. It prices by user band instead of per head, so a crew of 6 to 10 pays the same Grow price, $349 a month on a one-year commitment. The catch is the same as Housecall Pro's: a monthly bill that keeps running and jumps at the next band.

Service Fusion

The cleanest answer to the user wall. Every plan includes unlimited users, from Starter at $245 a month ($208 billed annually) up to Pro at $627. QuickBooks integration is on every plan. GPS fleet tracking is an extra charge on all plans, built-in calling and texting start on Plus, and its AI answering service is sold separately. For a crew of 6 to 10 it's cheaper than Housecall Pro MAX, though small shops pay for seats they won't use.

ServiceM8

Prices by job volume instead of headcount. Starter is $29 a month for 50 new jobs, Growing is $79 for 150, and Premium is $149 for 500, all with unlimited users on paid plans. Jobs past the cap cost 20 cents each. It's the lowest monthly bill here for a shop with a big crew and modest job count. A busy shop pays more as job count climbs.

Own Your Tools

A one-time license instead of a monthly plan: $490 at the founding price, or $49 a month for 12 months, with an annual platform fee capped at $99 from year two. Ten seats are included, so neither wall applies up to 10 people, and it takes no cut of card payments, which go straight to your own Stripe account. It doesn't send automated customer reminders, has no live QuickBooks sync, and offers email support only.

Workiz and ServiceTitan

Neither publishes prices. Workiz shows "Request pricing" on its plans, and ServiceTitan is quote-only and built for larger operations with longer contracts. Get the full number in writing, including what the next hire costs, before signing.

Moving off Housecall Pro

Before switching, export your customer list from Housecall Pro as a spreadsheet. Most alternatives import customers from a CSV or Excel file, and some, including Own Your Tools, list Housecall Pro exports specifically. Job history and photos usually don't move as cleanly as customer lists, so check what the new system can take before you cancel. Check your Housecall Pro billing date too, so you aren't paying for a month you won't use.

Which alternative fits

If you're about to hire your sixth person and want to stay close to what you have, Jobber or Service Fusion will feel most familiar, and Service Fusion takes headcount off the bill entirely.

If you run lots of jobs with a large crew and want the smallest monthly bill, look at ServiceM8.

If you'd rather stop paying monthly altogether and your crew is 10 or fewer, Own Your Tools is the one-time option.

FAQ
